Payment, Cancellation & Refund Policy for Travel


Because we understand future travel can be unpredictable, we offer a flexible cancellation policy based on providing our guests the option of full or partial refunds (depending on the timeframe) or the more attractive option of transferring paid funds to a future trip. The chart below shows various cancellation scenarios.

Please note: The increased expenses incurred as a trip gets closer reflect the current policies of hotels and other vendors, and our need to make early payments to assure availability. 

Payment Schedule:

  • Deposit: Due at the time you make your reservation 

  • Final Payment: Due 90 days prior to the trip’s start date

Cancellation Policy:

If a cancellation request is received, we offer the option of refunding a portion of your payment(s) or transferring the payment(s) to future travel with Esperienza, according to the details below.

For 2025 Programs:

  • More than 90 days until start of program: 100% of payment is transferable, 90% refundable

  • 90 - 31 days until start: 90% of payment is transferable, 80% refundable

  • From 30 - 17 days until start: 70% of payment is transferable, 60% refundable

  • No refunds or transfers will be available if a cancellation request is received less than 17 days before the start of the program

For 2026 Programs:

  • More than 120 days until start of program: 100% of payment is transferable, 70% refundable

  • 120 - 45 days until start: 70% of payment is transferable, 50% refundable

  • No refunds or transfers will be available if a cancellation request is received less than 45 days before the start of the program

Of course, if Esperienza needs to postpone or cancel a trip, 100% of your funds will be available for transfer to a future trip.*

PLEASE NOTE: Cancellations require that a written request is received in the timeframe outlined above. All qualified refunds will be made within 30 days from the receipt date of the written cancellation request. All transferred funds for 2025 programs must be used by December 31, 2026 and all transferred funds for 2026 programs must be used by December 31, 2027.

Because many factors are beyond our control, we strongly encourage you to purchase travel insurance. We also must reserve the right to change these policies, if needed. However, please know that our goal is always to travel as soon as is safely possible.
